How to Add a Logo to an Invoice

Add your logo to an invoice on iPhone: pick a version that prints well, set it once, see where it sits on the PDF, and change or remove it later.

Made for this: Invoice Cat

A logo at the top of an invoice tells the client who it's from before they read a word, and it makes a one-person business look like the business it is. You don't need a designer or a laptop to add one. This guide covers which version of your logo to use, then how to add it with Invoice Cat, our invoice app for iPhone, where it shows up on the PDF, and how to change or remove it.

Pick a logo that prints well

Your logo shares the top of the page with your business name, address and contact details, so it has a small space to work in. A few things help:

  • Use a wide version if you have one. In Invoice Cat the logo is scaled to fit a box about 150 points wide and 56 points tall, so a wide, short logo shows larger than a tall, square one.
  • Crop away empty space. Any blank margin around the artwork counts toward that box and makes the logo itself smaller.
  • Keep it simple. Fine lines and small text get hard to read at invoice size. A plain mark or your name in your lettering usually reads better.
  • Use a clear, sharp image. Invoice Cat keeps a copy up to 900 pixels on its longest side, which is enough to look sharp in print at that size.
  • Have it in Photos. The logo is picked from your photo library. If yours is in Files or an email, save the image to Photos first.

Add your logo once, in Business

You set your logo once and Invoice Cat uses it from then on.

  1. Open the Business tab.
  2. At the top, under Your business, tap Add logo.
  3. Choose your logo from your photos. A small preview appears at the end of the row, and the button now reads Change logo.
  4. Fill in the rest while you're there if you like: Business name, Email, Phone, Website and Address. As the screen says, "Every field is optional. Shown at the top of your invoices."

There's no save button: Business saves as you go.

There are two other ways in:

  • On your first preview. The first time you tap Preview & send (Share & print on a wide iPad screen), a card called Your details on the invoice appears below the PDF if your business details are still empty. Tap the Logo square to pick your logo, add your name, email, address and how to pay you, then tap Save (or Skip for now). After that, the card doesn't come back.
  • From Home. Once you've made a document, if your business details are still empty, Home shows Add your business details: "Name, logo and how to pay you. Optional, and set once." Tap it to go to Business.

Where the logo goes on the PDF

The logo sits at the top left of the page, with your business name, address, email, phone, website and tax ID underneath it. The document title and number sit on the right. The same header is used on invoices and on estimates, so your quotes carry your logo too.

The logo comes from Business, not from each document. Once you add it, it's on every invoice and estimate you preview, send or print from then on, including ones you made before you added it.

To check it, open an invoice and tap Preview & send (on a wide iPad screen the preview sits beside the editor). The preview is the finished PDF, so what you see is what the client gets.

On the preview, below the PDF, you can pick the look of the invoice:

  • Classic, Modern or Minimal. Modern puts the top of the page on a band of your accent colour, and your logo sits on a white rounded patch so a dark logo stays visible on it. Minimal uses a serif type for a quieter page.
  • An accent colour. Tap a colour swatch to pick one that sits well next to your logo.

You can pick the same things in the invoice editor under More options, in Design, along with A4 or US Letter paper. New documents start with the design you used last. In Business, under Design, you can also set the Template and Paper that new documents start with.

For everything else that goes on an invoice, such as items, tax, deposits and payment terms, see how to make an invoice on iPhone. Sending quotes as well? How to make an estimate on iPhone walks through those.

  • To change it, open Business, tap Change logo and choose the new image.
  • To remove it, tap the small x next to the logo preview in Business. The header then starts with your business name.

Because the logo comes from Business, the change shows on the next invoice or estimate you preview, older ones included. A PDF you already sent doesn't change; the client keeps the copy they got.

Using other Cat apps?

In Business, the Share these details with your other Cat apps switch is off until you turn it on. When it's on, your other Cat apps on the same device can fill in your name, business, email, phone, address, website and logo, so you don't have to add them again. The details stay on your device and in your own backups unless you share, save or print a document that shows them.

What it costs

Adding your logo is free, and so are invoices, estimates and clients, with no limits, along with preview, send, email and print. There's no watermark: the page shows your logo and your name, not ours. There are no ads and no account. Invoice Cat Pro is an optional one-time purchase that adds Saved items, Repeat monthly and Statements. A logo doesn't need Pro. More on the Invoice Cat page.

Quick answers

Do I need Pro to put my logo on an invoice?
No. The logo is part of the free app.

Will Invoice Cat put its own logo or a watermark on my invoice?
No. Free or Pro, the PDF has no watermark and no Invoice Cat branding on the page.

Does the logo go on estimates too?
Yes. Invoices and estimates use the same header, with your logo at the top left.

Can I use a different logo on one invoice?
No. There's one logo, set in Business, and it's used on every invoice and estimate.
