How to Make a Weekly Schedule on iPhone

Make a weekly schedule on your iPhone: set the parts of your week that repeat once, change a single day without touching the rest, and print the week on one page.

  • Planner Cat
Made for this: Planner Cat

Classes on Monday, Wednesday and Friday. A late shift every Thursday. Swimming every other day. Most weeks are built from the same pieces, with a few changes. A weekly schedule puts those pieces on seven columns, so you can see which days are full and where the gaps are. This guide covers how to sort out what goes on it, then how to make one with Planner Cat, our day planner for iPhone and iPad.

Sort your week before you start

Make a quick list and sort each item by how often it comes back:

  • Every day. Breakfast, the commute, the dog walk.
  • Monday to Friday. Work or school hours.
  • On set days. A class on Tuesdays and Thursdays, practice on Saturdays.
  • Every few days. Watering, a run every other day, a weekly-ish shop.
  • Just once. An appointment, a birthday dinner, a deadline.

Give each item a start time and a rough length. The repeating ones are the backbone of the week, so put them in first. The one-offs go around them.

Add the blocks that repeat

  1. Open Planner Cat and tap a time on the day page, or tap +.
  2. Under What's the block?, type a name, like "Biology".
  3. Set Starts and pick a Length, from 15 minutes to 4 hours.
  4. Pick a Repeat:
    • Every day
    • Weekdays, Monday to Friday
    • On days of the week, then tap the day letters you want. The day you're adding it on is picked to start with.
    • Every few days, from every 2 days to every 30, counted from the day you add it on
  5. Tap Add.

A repeating block starts on the day you add it on. It doesn't fill in the days before. Repeats are free, with no limit on how many, so every class, shift and chore can have its own.

Two things at the same time? Planner Cat puts them side by side.

Add the one-offs

For anything that happens once, leave Repeat on Never. Go to its day first with the arrows on the day page, or tap that day's date at the top of the week, then tap a time to add it.

See the whole week

Tap Week in the switch at the top. The week shows as seven columns, starting on the first day of the week set on your iPhone, with every block to scale on one hour rail. The title names the week, such as This week or Next week, with the dates and how many blocks are done, like "3 of 18 done".

The arrows step a week at a time, and Today brings you back to this week. Tap a day's date at the top to open that day, or tap a block to edit it.

Change one week without changing them all

Weeks are rarely all the same. When you move, stretch or rename a repeating block, Planner Cat asks: This one only or All repeats.

  • This one only changes that day and leaves every other day as it was. Use it for a class moved by an hour this week.
  • All repeats changes every day it comes back. Use it when the timetable itself changes.

Deleting asks the same, with Delete this one only or Delete all repeats. A cancelled class this Tuesday is Delete this one only. Delete all repeats removes the block from every day, past days included, so it's for when something has stopped for good.

A new repeat rule, reminder or note always applies to all repeats.

To tick a block done, open its day and tap the circle on it. Each day of a repeat is ticked on its own.

Tap the printer button at the top. The second part of the menu is named for the week, such as This week. Tap Print week page, or Share week as PDF to save or send it.

The week page is landscape, titled "Week of" and the dates. It has seven columns, each headed with the day and the date, and every block drawn to scale with its title and a tick box. The hours run from 6 in the morning to 11 at night, and stretch to take in any block outside them. It's Letter in the US, Canada, Mexico and a few other countries, and A4 everywhere else. The week page is free, with no watermark.

More with Pro

  • The week as a list. Under More print layouts in the ••• menu, Print the week list puts the week on portrait pages, a day at a time, each block a row with a tick box, its time and its title, plus a spare line or two to write in.
  • Day templates. Save a typical day with Save this day as a template, then lay it onto another day with Use a template. The blocks it adds are one-offs on that day.
  • Your calendar alongside. Turn on Show calendar events to see your calendar's events beside your blocks, in the week too, read-only. Planner Cat never copies or saves them.

What it costs

Planner Cat is free for as many blocks and repeats as you like, every repeat rule, reminders, the day and week views, and the day and week pages to print or share. There's no account and no ads. Your plan is kept on your iPhone or iPad and in your own backups, and leaves only when you print, share or export it.

Planner Cat Pro is an optional one-time purchase that adds the week list and month pages, day templates, your calendar's events beside your blocks (read-only), colours and icons for blocks, and export to CSV. If you ever lose Pro, every block, colour, icon and saved template stays. More on the Planner Cat page.
